Spartanburg Day School is currently seeking a Systems Analyst and Registrar for the 2026-2027 school year.
POSITION SUMMARY
The Systems Analyst and Registrar will serve as the primary administrator of our student information system and academic records. This role combines registrar responsibilities with systems analysis and data management, requiring both technical expertise and a deep understanding of K-12 academic operations. The ideal candidate will serve as the bridge between our technology infrastructure and academic needs, ensuring data integrity, system optimization, and seamless information flow across all divisions.
ESSENTIAL FUNCTIONS
Academic Records Management
- Maintain comprehensive academic records including transcripts, report cards, and historical student data
- Process records requests for current students and alumni in a timely and accurate manner
- Manage grade reporting processes across all divisions (Lower, Middle, and Upper School)
- Ensure timely and accurate release of student grades and narrative reports each marking period
- Oversee proper record retention and archival processes in compliance with school policies and regulations
Schedule Management and Coordination
- Work closely with academic scheduling specialists in each division to support course scheduling processes
- Ensure that student schedules are accurately entered and maintained in Blackbaud
- Process student schedule changes throughout the academic year with attention to proper documentation
- Maintain grade history and ensure proper record retention during schedule modifications
- Coordinate with division heads to address scheduling conflicts and data discrepancies
System Administration and Data Management
- Serve as the primary administrator for Blackbaud Total School Solution
- Manage data flow and integrations between FinalSite (website CMS) and Blackbaud
- Create and maintain dashboards and data visualizations to facilitate data-driven decision-making
- Develop and implement data integrations to streamline processes across departments
- Regularly update and maintain faculty, student, and family portals with current academic information
- Ensure system security, data integrity, and compliance with privacy regulations
Cross-Departmental Collaboration
- Human Resources: Coordinate employee onboarding and offboarding processes, ensuring accurate system access and data entry
- Admissions Office: Collaborate on incoming student and family onboarding, including data migration and system setup
- Business Office: Deliver annual enrollment contracts and coordinate enrollment data management
- Development Office: Maintain accurate constituency records, relationships, and alumni data for advancement purposes
- Serve as liaison between departments to ensure seamless data flow and system integration
Training and Support
- Coordinate and lead orientation sessions for new faculty and staff on Blackbaud Total School Solution
- Provide ongoing training on system features, best practices, and updates
- Develop training materials and documentation for common processes and procedures
- Offer technical support and troubleshooting assistance to faculty and staff
- Stay current on system updates and communicate changes to the school community
- Data Integrity and Reporting
- Maintain commitment to data accuracy, consistency, and privacy across all systems
- Conduct regular data audits to identify and resolve discrepancies
- Generate reports for administration, faculty, and external stakeholders as needed
- Ensure compliance with FERPA and other relevant data privacy regulations
KEY STRENGTHS & QUALIFICATIONS
- Bachelor’s degree required; preference for degrees in Computer Science, Information Management, or a related field.
- Minimum of 3-5 years of experience in records management, registration, or admissions, preferably in an independent school or college/university setting.
- Proven experience working with a Student Information System (SIS) and/or Customer Relationship Management (CRM) software.

- Ability to work independently and adapt availability to meet seasonal workload, often requiring non-standard hours during peak times (e.g., admissions deadlines, report card periods)
Technical Skills:
- Working knowledge of Google Workspace and Microsoft Office 365
- Experience with data management tools and database systems
- Basic coding skills in Python for automation and data processing
- Proficiency in HTML and JavaScript for web-based customization
